Follow a consistent route
Start at the entrance and work through each room. Note the condition of walls, floors, windows, furniture and appliances. Take an overall photograph before close-ups of specific damage. Each image should identify the item and its location; an orderly sequence is more useful than unrelated photographs.
Record what changes hands
Agree the inventory, number of keys and readings from accessible meters. Check which instructions and contact details are provided. If an appliance has not been tested, say so and agree how a fault should be reported. Something that looks new should not automatically be recorded as working.
Keep a shared version
Send the agreed file to the other party and retain acknowledgement of receipt. Separately list known defects, proposed repairs and who will confirm completion. This organisational practice supplements the agreement; it does not itself determine liability or repayment conditions. Those points need to be checked against the contract and applicable rules.
