Begin with the actual procedure
Save the receiving authority’s current checklist and your consultation date. For each item, record the issuing country, required version and any validity period specified for that procedure. Avoid ordering certificates just in case before knowing where and when they will be used.
Confirm the sequence
An apostille, diplomatic legalisation and translation are different processes. Requirements depend on the document, country and applicable exemptions. Spain’s Foreign Ministry guidance helps identify the route. Confirm the order for your paperwork before paying for services, so a translation does not need repeating after another required certification is added.
Check the complete set
Compare names, dates, page counts and readability. Keep originals and digital backups separately and share them only with the necessary recipient. Replace “paperwork ready” in your tracker with specific states: requested, received, formalised, translated and checked. This makes real delays visible and shows which independent step can move forward.
